Cancellation & Refund Policy

At Firmbeginners It Solutions Private Limited (commercial brand: WorkSaar), operating out of Nahar Chowk Godda, Jharkhand, India – 814133, we prioritize customer trust, engineering transparency, and ethical business standards.

This Cancellation & Refund Policy sets out the exact conditions under which cancellations and refunds are evaluated and processed for our bespoke software engineering services and our SaaS software applications (YatriCare, WhatCent, and SkoolWala).

Bespoke software development, AI model integrations, and cloud architectures involve dedicated engineering hours, server reservations, and sprint planning. As such, the following rules apply:

• Milestone Sign-Offs: Custom projects are structured across agreed deliverables and milestone schedules. Once a milestone has been approved, demonstrated, and signed off by the Client, the payment for that milestone is strictly non-refundable.
• Advance Deposits Prior to Kickoff: If a client terminates an engagement in writing before any architecture work, UI/UX wireframing, or engineering sprints have commenced (within 48 hours of initial advance payment), a full refund minus a 5% administrative and banking processing charge will be returned.
• Mid-Project Early Termination: If a project is cancelled by the Client during an active sprint, the Client is billed only for the pro-rata engineering hours completed up to the date of written notice. Any remaining unutilized funds deposited into escrow or advance balances will be promptly refunded.

For recurring subscriptions across our software platforms, the cancellation and refund rules are structured as follows:

Firmbeginners It Solutions Private Limited will issue a full or partial refund under the following circumstances:

• Duplicate Payment Transactions: In the event that a payment gateway error results in multiple charges for the same invoice or subscription renewal, the duplicate amount will be refunded automatically without deduction.
• Verified Technical Service Unavailability: If our hosted SaaS platform fails to meet our stated 99.5% availability threshold over a full calendar month and the issue is not remedied within our SLA commitments, a pro-rata service credit or refund will be granted.
• Mutual Written Settlement: If an engagement cannot proceed due to mutually agreed technical infeasibility before milestone completion.

The following categories are strictly non-refundable under all circumstances:

• Third-party platform fees paid directly to external vendors on behalf of the client (e.g., Apple App Store developer accounts, Google Play Console fees, domain name registrations, SSL certificates).
• Consumed Meta WhatsApp Cloud API conversation charges accrued on WhatCent.
• Provisioned dedicated cloud servers (AWS EC2, GPU clusters, database instances) already invoiced by cloud providers.
• Governmental filing fees, GST, and statutory taxes already deposited with tax authorities.

To ensure prompt and verified handling of cancellation and refund claims, please follow these steps:

1. Send a formal written cancellation request from your registered email address to billing@worksaar.com with a copy to support@worksaar.com.
2. Include your Invoice Number, Client/Account ID, Payment Reference Token, and a detailed reason for the refund request.
3. Our finance team will acknowledge receipt within 24 to 48 business hours and review your account against our contractual milestones.

Once a refund is approved by our financial compliance team:

• Turnaround Time: Refunds are processed within 5 to 10 business days from the formal date of written approval.
• Mode of Refund: All approved refunds will be credited strictly back to the original source of payment (credit card, debit card, UPI, or Net Banking) used during the initial transaction. For enterprise bank transfers, refunds will be executed via NEFT/RTGS to the verified company bank account.
• Banking Delays: Please note that credit card providers and issuing banks may require an additional 3 to 5 business days to reflect the credited funds on your account statement.
